Trato Pro es un servicio de cotizaciones y facturas por WhatsApp para contratistas. Guardamos lo que hace falta para prestar el servicio: tus datos de negocio, los mensajes que nos envías por WhatsApp (incluyendo notas de voz, que se transcriben), los datos de tus clientes que tú nos das, y las cotizaciones, facturas y pagos que generas. Usamos proveedores para operar: Twilio y Meta (WhatsApp), Anthropic (la inteligencia artificial que redacta las cotizaciones), Deepgram (transcripción de voz), Stripe (pagos — nosotros nunca tocamos el dinero ni vemos números de tarjeta completos) y proveedores de alojamiento en Estados Unidos. 1. Who we are
Trato Pro LLC ("Trato Pro", "we", "us") is a Connecticut limited liability company based in Danbury, Connecticut, USA. We provide a WhatsApp-based service that helps small service businesses ("contractors") create quotes and invoices, send them to their clients, and get paid. This policy explains what we collect, why, who processes it, how long we keep it, and the choices you have. Questions: info@tratopro.com.
2. Who this policy covers
- Contractors — the businesses that subscribe to Trato Pro and use it over WhatsApp and the web dashboard we operate for them.
- Contractors' clients — the people a contractor quotes or invoices. A contractor enters their client's details into Trato Pro; we process those details on the contractor's behalf. If you are a client and have a question about your data, your first contact is the contractor who sent you the document; you can also write to us.
- Visitors — anyone who uses tratopro.com, opens a payment page, or contacts us through the site.
3. What we collect
From contractors
- Account and business details: your name, business name, phone number, email, business address, trade, license number and insurance details if you give them, logo and branding, default pricing, tax and deposit settings, payment terms, and the language you prefer.
- Messages: everything you send to our WhatsApp business number — text, voice notes, images or documents — and everything we send back. Voice notes are transcribed to text so the service can act on them; we keep the transcription. Message history is what lets the service remember the job you are describing.
- Documents and money: the quotes, invoices and recurring plans you create, their line items and totals, the PDFs we generate, and the status of each payment (paid, partially paid, pending, failed). We do not receive full card or bank account numbers — Stripe handles those (see section 5).
- Stripe connection: the identifier of the Stripe account you connect and whether it can accept charges. Your Stripe account is yours; what you enter on Stripe's site is governed by Stripe's privacy policy.
- Consent records: when you agreed to receive WhatsApp messages from us, so we can show it if asked.
- Technical logs: timestamps, delivery status of messages, errors, and the identifiers our providers assign to messages and payments.
From contractors' clients
- What the contractor tells us: your name, job address, phone number or email if the contractor provides them, and a description of the work. These appear on the quote or invoice.
- Payment pages: when you open a payment link we record that the document was viewed and, if you pay, the amount, the method (card, bank, or wallet) and the outcome. Your payment details themselves are entered on Stripe's checkout page and go to Stripe, not to us.
From visitors
- Contact form: name, phone number, trade and message, if you fill it in. We use it to reply to you about the service, by WhatsApp or phone.
- WhatsApp click-to-chat: if you message us from the site, we receive your WhatsApp number and message, as with any WhatsApp conversation.
- Server logs: standard web-server logs (IP address, browser type, pages requested) kept briefly for security and troubleshooting. The site sets no tracking or advertising cookies; it stores one preference in your browser (your language choice).
4. How we use it
- To run the service: understand the job you describe, draft the quote, generate the PDF, deliver it to you, track payments, and answer your questions about past documents.
- To send you service messages on WhatsApp: your documents, payment confirmations, account notices, and — with your consent — a welcome message when your account is set up. See section 7 for how consent and the 24-hour messaging window work.
- To take payments for your clients through your own Stripe account, and to bill you for your subscription.
- To keep the service working and secure: preventing abuse, diagnosing errors, and keeping records we are legally required to keep.
- To improve the service. We may look at how quotes are drafted to make the assistant better. We do not use your data to train third-party AI models, and our AI provider does not train on it either (section 5).
We do not sell personal information, and we do not use it for advertising.
5. Who processes it for us
Trato Pro runs on a small number of providers. Each receives only what it needs for its job, under its own terms and security commitments:

We also share data when the law requires it, to protect our rights or someone's safety, or, if Trato Pro is ever acquired, with the acquirer under this same policy.
6. Where your data lives
Our systems and providers operate in the United States. If you use Trato Pro from elsewhere, your data is transferred to and processed in the United States.
7. WhatsApp and SMS messaging
- Consent. You agree to receive WhatsApp messages from Trato Pro about your account when you sign up — usually during your setup call — and we record when you did. You can withdraw that consent at any time by telling us on WhatsApp or by email; we then stop sending you business-initiated messages. Messages you start yourself, and the service's replies to them, continue as long as you use the service.
- The 24-hour window. WhatsApp lets a business reply freely for 24 hours after you last messaged it. Outside that window we can only send pre-approved template messages (for example, a payment notification). This is a WhatsApp rule, not ours, and it is why some notices arrive in a fixed format.
- SMS. Our business number can receive SMS. If you text it, we may send one automated reply telling you the service runs on WhatsApp. We do not send marketing SMS. Message and data rates from your carrier may apply.
- Trato Pro is not affiliated with or endorsed by WhatsApp or Meta.
8. How long we keep it
- While your account is active: everything in section 3, so the service can act on your history.
- After your account closes: we delete or anonymize your messages, transcriptions and business settings within 90 days of a deletion request. Quotes, invoices and payment records are kept for up to 7 years because tax and accounting law requires it, then deleted.
- Server logs: up to 90 days.
- Backups: may hold copies for a limited time after deletion; they are not used to restore deleted accounts.
9. Your choices and rights
- Access and correction: most of your business settings can be changed by asking us. You can ask for a copy of the data we hold about you.
- Deletion: you can ask us to delete your account and data, subject to the retention rules in section 8.
- Messaging: withdraw WhatsApp consent as described in section 7.
- Clients of contractors: you can ask the contractor to correct or remove your details, or write to us and we will work with them.
To exercise any of these, email info@tratopro.com from the email or WhatsApp number on your account. We respond within 30 days. Residents of states with privacy laws that apply to businesses of our size have the rights those laws give them; we will honor them regardless of size where we reasonably can.
10. Security
Data moves over encrypted connections and is stored encrypted at rest. Access to production systems is limited to the people who operate the service. Payment card and bank details are collected by Stripe on PCI-compliant systems and never reach ours. No system is perfectly secure; if we learn of a breach affecting your data we will tell you as the law requires.
11. Children
Trato Pro is a business tool for adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
12. Changes
If we change this policy in a way that matters, we will tell contractors on WhatsApp or by email before the change takes effect and update the date at the top. Continued use after that date means you accept the new policy.
